Policies & Procedures

What to expect before, during, and after your session — the operational and clinical policies that keep every visit safe and effective.

These policies cover the clinical and operational side of your visit to Vita Mobilis. For booking, cancellation, no-show, and payment policies, please see our Terms & Conditions.

1. Intake & Informed Consent

After booking, you will receive a personal link by email to complete your health history intake form before your first session. The form covers your medical history, current medications, prior injuries, treatment goals, and any areas you wish to avoid. Completing it in full before your visit allows your therapist to arrive prepared.

For returning clients, you will be asked to review and update your intake annually or any time your health status changes. Verbal consent for treatment is obtained at the start of every session before hands-on work begins.

2. Preparing for Your Visit

  • Drink plenty of water the day of your appointment.
  • Avoid alcohol for at least 24 hours before your session.
  • Avoid a heavy meal in the 2 hours immediately before.
  • Wear comfortable, loose clothing — especially for first-visit assessments, which include a movement screen.
  • For studio visits, arrive 5–10 minutes early so we can begin on time. Late arrivals shorten the session; the full fee still applies (see Terms).

3. Draping & Modesty

Professional draping is maintained throughout every session. You will be covered by a sheet or blanket at all times — only the body area actively being treated is undraped, and it is re-draped before moving to the next area.

Your therapist will step out of the room while you undress and get onto the table, and will only re-enter once you confirm you are ready. You may request additional draping at any time. These standards apply to every session without exception.

4. Your Rights During a Session

You are always in control of your session. At any point you may:

  • Ask your therapist to adjust pressure — lighter or deeper.
  • Request a change in technique or ask them to move to a different area.
  • Adjust the room temperature, music volume, or lighting.
  • Request additional draping at any time.
  • Pause or end the session entirely, for any reason, with no explanation required.

Your feedback during the session is essential information for your therapist — never an interruption.

5. Health Conditions & Contraindications

Please disclose all current medical conditions and medications on your intake form. Some conditions require written physician clearance before massage therapy can be safely performed. These include, but are not limited to:

  • Active cancer treatment (chemotherapy or radiation currently in progress)
  • Deep vein thrombosis (DVT) or known blood clot history
  • Surgery within the past 6 weeks
  • Open wounds, rashes, or active skin infections in the treatment area
  • Uncontrolled hypertension
  • Severe or unstable osteoporosis
  • Active fever or contagious illness

If a contraindication is identified at the time of your appointment, your therapist may reschedule the session. Rescheduling for a clinical contraindication carries no cancellation fee.

6. Products & Allergies

Sessions use professional-grade, unscented massage oil or lotion by default. If you have known skin sensitivities, topical allergies, or product preferences, please note them on your intake form. Hypoallergenic alternatives are available on request. You are also welcome to bring your own preferred product.

7. Minors

All clients must be 18 years of age or older. Clients under 18 may be seen with prior written consent from a parent or legal guardian. The parent or guardian may be present during the session if they choose.

8. Mobile (Home Call) Service Requirements

For home call visits, the client is responsible for providing a suitable environment:

  • A private room with a clear floor area of at least 6 × 10 feet for the portable massage table.
  • Adequate lighting so the therapist can safely assess and treat.
  • A flat, stable floor surface.
  • Pets separated from the treatment area for the duration of the session.
  • Clear building access — street-level entrance or elevator. Stairs requiring table carry must be disclosed in advance.

If the therapist arrives and the space is unsafe or unsuitable, the session may be rescheduled with no cancellation fee applied. Geographic eligibility for home visits is verified separately at booking.

9. Referrals & Care Coordination

Vita Mobilis complements but does not replace medical care. When your therapist identifies symptoms or conditions that fall outside the scope of massage therapy — or that would benefit from a multi-disciplinary approach — they will recommend you consult a physician, physical therapist, or appropriate specialist. A referral recommendation does not end the therapeutic relationship; in most cases, both approaches proceed in parallel.
