Privacy Policy

How we collect, use, share, retain, and protect the information you share with Vita Mobilis Therapeutic Massage.

Effective July 2026

Vita Mobilis Therapeutic Massage ("Vita Mobilis," "we," "us") is a licensed therapeutic massage practice located at Cliffside Park, NJ 07010. This policy explains what personal information we collect through our website, booking form, and in-clinic intake, how we use it, who we share it with, how long we keep it, and the choices and rights you have.

1. Information we collect

  • Contact information — first and last name, email, phone number, and (for home visits) service address.
  • Health and intake information — symptoms, injury history, medications, prior treatments, goals, and any files or images you upload with your booking or share during a session. This is treated as sensitive personal information.
  • Appointment information — visit type, service, date and time, therapist assigned, and session notes (SOAP notes) created by your therapist.
  • Payment information — if and when online payment is enabled, our payment processor collects card details directly; we receive only a confirmation and the last four digits.
  • Communications — emails, messages, and voicemails you send us, and our replies.
  • Site usage data — IP address, device and browser type, pages viewed, and referring URL, collected through standard server logs and, where enabled, analytics cookies (see Section 6).

2. Why we collect it and how we use it

  • To schedule, confirm, deliver, and follow up on therapeutic care.
  • To assess whether a home visit is within our service area and to prepare treatment safely.
  • To maintain accurate clinical records as required for licensed practice in the State of New Jersey.
  • To send appointment confirmations, reminders, and clinical follow-ups from contact@vitamobilis.health.
  • To send occasional newsletters or clinic updates only to clients who opt in.
  • To protect the security and integrity of the site (spam and abuse prevention via reCAPTCHA).
  • To comply with legal, tax, and professional record-keeping obligations.

3. Sensitive health information

Intake and clinical information is stored in an access-controlled system. Access is limited to the therapist providing your care and authorized clinic staff who need it to schedule, deliver, or bill for treatment. We do not sell, rent, or share health information for advertising. Files you upload (imaging, referral letters) are stored in private, encrypted storage.

Vita Mobilis is not a HIPAA-covered entity and does not bill health insurance electronically. We treat all health and intake information you share with us as sensitive personal information and apply strict access controls and security measures to protect it.

4. How long we keep it

Clinical and intake records are retained for seven (7) years after your most recent visit, in line with New Jersey record-keeping expectations for licensed massage therapy practice. Booking and contact records not associated with a treatment are kept for up to 24 months and then deleted or anonymized. Marketing consent and unsubscribe records are kept as long as we operate the mailing list.

5. Who we share it with

We share personal information only with service providers who help us operate the practice, and only for that purpose:

  • Scheduling provider — to place confirmed appointments on the clinic calendar (we share name, service, date, time, and, for home visits, the address).
  • Email delivery provider — to deliver booking confirmations, clinical follow-ups, and opt-in newsletters.
  • Hosting and database provider — to store the website and encrypted records.
  • Payment processing provider — if and when online payment is enabled, to charge your card and issue receipts.
  • Legal or regulatory authorities — where required by law, subpoena, or to protect our rights or client safety.

We do not sell your personal information and do not share it with advertising networks.

6. Cookies, analytics, and tracking

The site uses only the cookies strictly necessary to operate (for example, to keep you signed in to the admin area and to protect the site with Google reCAPTCHA). We do not currently run third-party advertising pixels or cross-site trackers. If we later enable web analytics (such as Google Analytics) or any marketing pixel, we will update this policy, show a consent notice on your first visit, and only load those trackers after you accept.

The booking form uses Google reCAPTCHA to prevent spam and automated submissions. reCAPTCHA may set its own cookies and collects device and behavioral data governed by Google's Privacy Policy and Terms of Service.

7. Your rights and choices

Depending on where you live, applicable U.S. state privacy laws (including laws in California, Colorado, Connecticut, Virginia, and similar states) give you the right to:

  • Access the personal information we hold about you.
  • Correct information that is inaccurate.
  • Delete your personal information, subject to our legal record-keeping obligations for clinical records.
  • Opt out of marketing emails at any time, either through the unsubscribe link in any newsletter or by emailing us.
  • Appeal a decision we make about a privacy request.

To exercise any of these rights, email contact@vitamobilis.health with the subject line "Privacy Request." We will verify your identity before acting on the request and will respond within the timeframe required by applicable law.

8. Children

The site is not directed to children under 13. We only treat minors in the clinic with the involvement and written consent of a parent or legal guardian.

9. Security

We use industry-standard measures — encryption in transit, encrypted storage, access controls, and audit logging — to protect your information. No system is perfectly secure, and we ask that you avoid emailing highly sensitive information; use the intake form or share it in person instead.

10. Data breach notification

If we discover a security incident that compromises your personal information, we will notify you by email within 30 days of determining a breach occurred, in accordance with the New Jersey Identity Theft Prevention Act (N.J.S.A. 56:8-161 et seq.). We will also notify the New Jersey Attorney General and the New Jersey State Police as required by law. The notice will describe what information was affected, what happened, and what steps we are taking.

11. Changes to this policy

We may update this policy from time to time. Material changes will be reflected by an updated "Effective" date at the top and, where appropriate, by direct notice to clients.
